Booking conditions
Booking and fees
· Vouchers for the Club must be purchased in advance and can not be obtained on the day.
· Cheques should be made payable to “Snap Snap Challenges Ltd”.
· We recommend that places are booked at least one week before to guarantee a space; the earlier they are booked, the more chance of getting the dates you want.
· There will be no refunds for unused vouchers unless circumstances are deemed exceptional.
· Vouchers must be presented on the booked dates to reception upon arrival.
· Vouchers are not transferable.
· Meals should also be reserved at time of booking and are payable in advance.
Cancellation
· Full refunds are available if the cancellation is made more than fourteen days before the start of the Holiday Clubs.
· In the case that the Club is cancelled by us due to unforeseen circumstances we will make every effort to rebook your days on a date that is suitable to you. If this is not possible a full refund will be forthcoming.
Drop-off and Collection
· Club participants can be dropped off/arrive between 8am and 9am when they must sign in and collect their security wrist band at the Community reception desk.
· Collection time is between 5pm and 6pm when they must sign out.
· If participants are required to arrive late or leave early they must inform reception in advance.
· Participants will not be allowed offsite unaccompanied during Club times.
· Parents/guardians who allow their children to journey to and from the Club unsupervised must inform reception and tell us the time you intend them to depart.
· There is no discount available for participants who do not attend for the full day.
· Participants that are not collected by 6pm will be kept at the college and supervised by at least two members of staff. Every attempt will be made to contact their parents/guardians or other designated adult using the emergency numbers supplied. If this is not possible Social Services will be contacted to make arrangements for short-term care.
Security
· The security, health and well-being of our participants are our first priority.
· All participants will have a waterproof security band placed around their wrist each day at reception. The colour of the bands will change daily and participants will be required to wear them at all times. Lost or stolen bands must be reported immediately.
· All visitors must report to the Holiday Club reception on arrival and sign in.
· Any unauthorised entry will be treated seriously and may result in police involvement.
·
All Swanmore College Wyvern College and Snap Snap staff will have
enhanced Criminal Record Bureau certificates that can be viewed at reception on
demand. They are also vetted using Hampshire County Council guidelines with
references followed up as to their suitability to work with children.
Meals & Tuck Shop
· The cost of a daily meal package is £8.25 (£6.00 if you don’t want breakfast)
· The meal package includes breakfast, lunch and tea. Breakfast will be a choice of cereals, toast, fruit and juices. Lunch will be a choice of hot and cold menus including vegetarian and healthy options; this will include a main course, desert and squash in a sit down, cafeteria format. Tea will be a pre-packaged cold meal with a choice of sandwiches and include a drink, snack and fruit (contents may vary from day to day).
· Unfortunately there is no option to buy individual meals but there will be a tuck shop available throughout the day.
· Participants in the Club are welcome to bring their own packed meals.
· Participants will be able to purchase a range of snacks from the tuck shop and will need cash for this. How much they bring is at the decision of their family. The management and leaders of the Meon Valley & Wyvern Holiday Clubs accept no responsibility for this money and it is up to the participants to ensure that it remains safe.
Personal belongings
The management and leaders of Meon Valley & Wyvern Holiday Clubs accept no responsibility for the security of personal items belonging to the participants. We recommend that all items of value remain at home; this includes mobile phones, electronic games, mp3 players, designer gear, etc.
Clothing and equipment
It is recommended that each participant brings with them a suitable bag containing everything they might need for the day. Clothing should be casual. We recommend that all clothing and personal items clearly display the owners name. The following list is for guidance only:
· Fleece or warm jumper if cold
· Rain coat
· Clothing suitable for activity i.e. T-shirt and shorts
· Trainers
· Drinks bottle (with water in)
· Sun screen (essential if doing activities outside most of the day)
· Hat (essential if doing activities outside most of the day)
· Any item of equipment necessary for the day’s activities e.g. tennis racket, musical instrument, etc. A facility will be available to lock these away when not in use.
· Towel and soap for showers
· Change of clothes depending on the day’s activities
· Cash for tuck shop in a labelled purse/wallet
Lost property will be held at reception for one week only.
Behaviour
· Whilst the emphasis of the Club is having fun and the opportunity for its participants to enjoy a range of experiences, it is important that we maintain a high level of behaviour for the safety and enjoyment of all. To this end poor behaviour will not be tolerated. The definition of poor behaviour will be determined by the Club Leaders and management as anything that compromises the safety, self esteem or liberty of the Club’s participants, staff or third party providers. Examples of such behaviour include bullying, vandalism, excessive bad language, physical violence, abusive behaviour/language, or anything that puts an individual or group at risk.
· Any participant of the Meon Valley & Wyvern Holiday Clubs exhibiting poor behaviour will first be given a verbal warning and the opportunity to demonstrate improved attitude. If the behaviour continues they will be asked to leave immediately and not return by the management of the Club. In exceptional cases, there will be no warning given. Such incidents might include illegal practices such as smoking, consuming alcohol or drugs, stealing or purposely causing harm to another.
· The Meon Valley & Wyvern Holiday Clubs management reserve the right to refuse entry to any participant at their discretion. There will be no appeal or refund of monies already paid.
Health & Safety
· All staff will be fully trained in emergency and evacuation procedures.
· The staff and management of the Club are responsible for completing daily safety inspections of the site and its facilities. Records of these inspections can be seen at reception.
· Participants will be briefed on arrival as to the emergency and evacuation procedures.
· Emergency and evacuation procedures will be practised during the Club timetable.
· The Club’s risk assessment will be carried out prior to each holiday and be continually reviewed. This is a dynamic process that involves all staff.
· All incidents will be recorded in the Accident and Incident book kept at reception.
· There will always be a sufficient number of qualified first aiders available.
· The first aid point is located at the reception desk.
· Serious incidents will be referred immediately to the proper authorities.
· All participants must complete and return an Emergency Medical Declaration before partaking in the Club so that if the child’s legal guardian is not immediately available the Club’s management can act on their behalf in life threatening scenarios. This will only be used as an absolute last resort if the parents/guardians can not be contacted.
Data protection
· Any information held by the Holiday Club on participants will be made freely available to them or their parents (proof of identity may be required). Information on other participants will be held in the strictest confidence.
Equal Opportunities Policy
· The Meon Valley Holiday Club is committed to equality of opportunity for all.

· The Club is committed to providing appropriate support where necessary to ensure integration.
· The Club recognises all children as individuals with different needs.
· Inappropriate attitudes and behaviours will be dealt with sensitively.
· All staff will actively uphold the principles of the policy.
· The Club resources and activities will be free from bias and stereotyping.
· Parents/guardians and staff will be given a copy of the Equal Opportunities Policy.
· We will regularly review our Equal Opportunities Policy and monitor its effectiveness.
Special Needs Policy
· We welcome participants with special learning and physical needs.
· Swanmore College of Technology and Wyvern Technology College are fully equipped to manage a wide range of physical abilities.
· Every effort will be made to cater for those with special needs and, where appropriate, activities may be adapted.
· Where possible, participants with special needs will be encouraged to participate in the activities in their chosen timetable. However, there may be times where this is not possible due to the nature of the activity. In this case, another appropriate activity will be provided within the other timetables.
· Parents/guardians and staff will be given a copy of the Special Needs Policy.
· We will regularly review our Special Needs Policy and monitor its effectiveness.
Complaints procedure
If you have an issue or problem with any aspect of the Club please, in the first instance, talk to the Manager on duty at the club who will do their best to resolve your issue speedily and to your satisfaction.
